We have emergency informatio on our students, can I put that in the Palm?

The emergency sheets have their pictures, address and emergency numbers , is there a way to put it all in the palm pilot?


It would be easy if we could scan the sheets to the computer, and then sync it to the palm , is that possible?

Uh, well, you kind of have to enter text manually. I think there is a way to convert scanned text (as a picture) into plain text so that you can paste in into Palm desktop, but I don't know of any software capable of this off-hand.

However, yes, you should be able to scan all of the sheets and have the photo and the information as a picture. Obviously, you won't be able to search them.
 
You can scan everything and save it as a file name that uses the Student Name and some abbreviation for thier picture, then another abbreviation for the contact sheet.

Once everything is saved, I'd recommend saving as a JPG type, then you can use the Palm Media Center to import the pictures onto an SD card because it'll be too much for RAM.

I'd say do this as a trial to see if you can read the data on the Palm your using.

The other option would be possible to scan the document as a PDF and use either Adobe PDF viewer for Palm or Resco viewer to see the data. Still save the picture as a JPG file and then - since your a teacher - you should be able to figure out a filename system that ties the picture to the Student and their Emergency info.

I would suggest placing the information in Palm's Contacts application. If the emergency sheets are in a spreadsheet or database file, you can convert it to a Tab delimited format (.tab) or a Comma Separated Variable (.csv) file, which can be imported to Palm Desktop. The alphanumeric data will automatically be filled in. I'm not positive about importing the pictures. Those may have to be inserted manually, but at least Contacts has a place reserved for a photo. ... If the emergency sheets are actually individual paper sheets, you can scan them, run the resultant file through an OCR, edit the file to create a .tab or .csv file, and then import it to Palm Desktop from that point. Once the emergency information is in the Desktop, it's just a matter of running a sync to get all the info into the Palm.

Out of curiosity, what kind of Palm are you using? Also, it would be useful to know how many students you need stored. What software are you currently using to store the information?

If the information is being stored in Word or Excel, you could sync those documents into Documents To Go. Pictures can be nested in table inside of Microsoft Word. Docs to Go is capable of displaying tables in Word documents.
 
I wouldn't put sensitive data into a PDA without encrypting it, especially if its for work. If you were to lose the PDA, you could be in huge trouble.
